This Statement of Work (SOW) is issued pursuant to the Consultant Services Master Agreement between the Caribbean Student Association’s Island Fever Dance Team (“Client”) and Caribbean Student Association—henceforth referred to as CSA—(“Contractor”), effective November 1st, 2017 (the “Agreement”). This SOW is subject to the terms and conditions contained in the Agreement between the parties and is made a part thereof. Any term not otherwise defined herein shall have the meaning specified in the Agreement. In the event of any conflict or inconsistency between the terms of this SOW and the terms of this Agreement, the terms of this SOW shall govern and prevail.

Island Fever Constitution

The Services shall commence on November 3rd, 2017, and shall continue henceforth.

Caribbean Student Association

  • Island Fever is an entity in the care of the Caribbean Student Association and therefore must notify and work with the Caribbean Student Association in decision making processes including, but not limited to, those involved in contracted performances, event planning and financial decisions both on and off-campus[1] with at least two weeks notice.

    • Aspects of team functions such as outfits, music, dance style, socials, and general structure of the Dance Team in reference to manual.

  • Island Fever is a subsidiary of the Caribbean Student Association and will continue to exist as one, in agreement with the terms listed in this Agreement.

    • The Island Fever Logo is the official logo for CSA’s Island Fever Dance Team and shall remain unless deemed unfit to represent the team by policy of CSA.

  • Dues for CSA’s Island Fever Dance Team, at the time of agreement of this contract, are as follows:

    • USD$5.00 for the semester; $10.00 for the year; and if late, $7.00 per semester

    • The dues Island Fever collect double count as CSA’s dues and Island Fever dues.

    • These are subject to change at the discretion of the CSA’s Island Fever Dance Team captains and President of the CSA.

  • Due-paying members as of CSA’s Island Fever Dance Team are required to attend at least one general body meeting and CSA Event (or CSA affiliated event) per month.

    • More than half of CSA’s Island Fever Dance Team must comply with the football booth policy as determined by CSA.

  • The CSA’s Island Fever Dance Team must perform for the Annual Caribbean Experience and the Miss West Indies Pageant.

  • The CSA logo must be incorporated into all official CSA’s Island Fever Dance Team correspondence, including but not limited to: flyers, posters and other media release paraphernalia.

  • The CSA’s Island Fever Dance Team, given its affiliation with the CSA, agrees to the code of the CSA and will commit to displaying, representing and portraying West Indian culture and promoting events hosted by the CSA,  in agreement with the Mission[2] of CSA, without bias and prejudice.

 

Core Structure of the CSA’s Island Fever Dance Team

  • Captain

  • Must be delegated by the outgoing Captain, Co- Captain and managers, reviewed by the CSA Executive Board and approved by the due-paying members of the CSA’s Island Fever Dance Team from a pool of candidates exhibiting qualities characteristic of previous CSA’s Island Fever Dance Team captains, including but not limited to: Seniority on the Dance Team, Dedication, Trustworthiness and Capability.

  • Must ensure that a healthy relationship is maintained between the Core Structure of the CSA’s Island Fever Dance Team and the CSA Executive Board.

  • Must be on the Dance Team for at least 2 consecutive semesters and have performed the mandatory performances.

  • Must be willing if necessary and able to hold the position for a maximum of two years.

  • At the start of the last semester of your position, you must have found at least one competent potential successor only to be confirmed in conjunction with CSA .

  • It is mandatory to have a preliminary meeting with the CSA Executive Board to discuss expectations in the Constitution.

  • Co-Captain:

  • Should follow the same criteria as Captain.

  • Managers (at most, 2)

  • Their job is to carry-out any and all administrative work required by and for the CSA’s Island Fever Dance Team.

  • The managers are decided by outgoing and incoming Captain and Co-Captain

  • CSA Executive Board Liaison:

  • In the situation where a member of the CSA Executive Board is not concurrently an active member for the CSA’s Island Fever Dance Team, the CSA’s Island Fever Dance Team must elect a CSA Executive Board Liaison to liaise between the CSA’s Island Fever Dance Team and the CSA Executive Board in relaying information pertinent to the functioning of the CSA’s Island Fever Dance Team. The CSA Executive Board Liaison, while not a member of the CSA Executive Board,  must attend at least two (2) Executive Board meetings per month. 

  • We prefer the Liaison to not be the Captain/Co-Captain.

  • CSA Executive Board member

  • Must attend at least 1 practice a month.

 

  • In the event the Captain and/or Co-Captain is deemed unfit for their position, the other members of the management team in conjunction with the CSA Executive Board will hold a trial by jury with a judge being the CSA advisor.

  • If the Captain and/or Co-Captain is found guilty, they must be excused from the team for at least a semester and the person next in power will resume their position.

  • In circumstances which the Captain and Co- Captain can not find qualified successors, they have the option to reign a maximum of two years in total with the approval of CSA Executive board.

 

Tables

  • Tables can be reserved by either the Manager(s) of the CSA’s Island Fever Dance Team or Secretary of the CSA and must be properly and adequately manned during the time requested.

 

Auditions

  • Auditions for new members of CSA’s Island Fever Dance Team must be held within the first 45 days for Fall semester and the first 14 days of the beginning of the Spring academic semester , this includes Monday through Sunday, of a new semester as is defined by The Pennsylvania State University.

Events

  • The CSA must be notified of any requests for performance of the CSA’s Island Fever Dance Team and should be liaised with if the CSA’s Island Fever Dance Team elects to host any events on their own.

  • The CSA’s Island Fever Dance Team must notify the holder of the Office of Student Activities in at least one week’s advance of any Flash Mob presentations within the boundaries of the Hetzel Union Building-Robeson Center and receive the necessary clearance for performance in any building located on and off Campus.

  • Any equipment purchased by CSA’s Island Fever Dance team must be stored in a storage unit as deemed fit by Core Structure of the CSA’s Island Fever Dance Team and CSA Executive Board.

Social Media

  • As stated before, everything CSA posts on their social media, Island Fever must follow and repost.

  • Island Fever must share their google drive folder with the President and Liaison of the Caribbean Student Association.

  • Any inquiries made from others and any emails sent to and from must always CC/BCC CSA’s email into it.

  • Island Fever can create their own forms of promotion; but as stated before, it must have the CSA emblem visible and shown in a respectful manner.

  • If Island Fever needs assistance from members of the Executive Board, they are allowed to inquire their services.

  • The President of the Caribbean Student Association at the time MUST always have the option of being part of the Island Fever announcement and member group chat.

  • The Captains and Managers must have a group chat specifically with the Liaison and the President of CSA at the time to keep all parties update to date with each other.

 

*If an issue arises in the future, all information including but not limited to: passwords and usernames, for the email(s) and social media must be shared on a formal document with the Caribbean Student Association’s executive board (only the President and the Vice President). *

Fundraisers

  • The CSA is required to allocate $100.00 each Fall and Spring Semester towards the expenses of the CSA’s Island Fever Dance Team that may not roll-over into subsequent academic years.

  • Any monies gained by the CSA’s Island Fever Dance Team must be deposited into the CSA’s Associated Student Activities account (Acct. No 0039) for transparency purposes and must be well-documented with the CSA Treasurer upon deposition.

  • The CSA’s Island Fever Dance Team can host fundraisers for charitable purposes, and retain a portion of the proceeds, but must ensure transparency in the entire process.

  • The CSA’s Island Fever Dance Team must provide a receipt (prefer original receipt) when they ask to be refunded money utilized on Island Fever.

  • Fundraising restrictions

  • Should be minor fundraising ventures, including but not limited to: Restaurant-affiliated fundraisers and bake sales.

  • Fundraisers held by the CSA’s Island Fever Dance Team cannot reflect those hosted by the CSA and additionally, those of the CSA cannot be collaborated on by the CSA’s Island Fever Dance Team unless requested by the CSA.

  • The CSA must receive a 10% cut from any fundraiser hosted by the CSA’s Island Fever Dance Team.

Out-of-Pocket Expenses / Invoice Procedures

  • The  CSA’s Island Fever Dance Team is entitled to be reimbursed for any out-of-pocket expenses from their funds held in the CSA Associated Student Activities account at the discretion of the CSA Executive Board.

    • If they would like to take money out of their account, they must be prepared to answer these questions to make sure the money is being used on Island Fever:

      • Why?

      • Where?

      • Who?

      • What?

      • How?

      • When?

Project Change Control Procedure

The following process will be followed if a change to this SOW is required:

  • A Project Change Request (PCR) will be the vehicle for communicating change. The PCR must describe the change, the rationale for the change, and the effect the change will have on the project.

  • The designated Project Manager of the requesting party (Contractor or Client) will review the proposed change and determine whether to submit the request to the other party.

  • Both Project Managers will review the proposed change and approve it for further investigation or reject it. Contractor and Client will mutually agree upon any charges for such investigation, if any. If the investigation is authorized, the Client Project Managers will sign the PCR, which will constitute approval for the investigation charges. Contractor will invoice Client for any such charges. The investigation will determine the effect that the implementation of the PCR will have on SOW price, schedule and other terms and conditions of the Agreement.

  • Upon completion of the investigation, both parties will review the impact of the proposed change and, if mutually agreed, a Change Authorization will be executed.

  • A written Change Authorization and/or PCR must be signed by both parties to authorize implementation of the investigated changes.
